Shop-in-shop sales and stock visibility: see what each concession can actually sell
How can a brand improve sales and stock visibility across shop-in-shop locations?
Connect each shop-in-shop location's consumer-sale lines to variant-level receipts, transfers, returns and stock states. Reconcile the movement ledger to reported or counted stock, show feed freshness and distinguish physical possession from ownership. Use available stock and consumer demand for decisions, while flagging missing reports and unresolved variances before recommending replenishment or redistribution.
Define the concession before combining the data
A shop-in-shop location sits within a host retailer but may have its own assortment, staff, commercial terms and stock responsibilities. Do not assume the host's store identifier is enough. Create a stable record for the brand concession, physical location, host account, reporting cadence and relevant stock locations.
Separate display stock, back-room stock and goods in transit where the operating process distinguishes them. A customer can face an empty fixture while a total stock report still looks healthy. The useful question is not merely how many units exist, but which variants are available to serve demand and where they can be accessed.
Keep ownership distinct from possession
A shop-in-shop arrangement may involve outright purchase, consignment or another contract structure. Determine the actual arrangement before interpreting stock and settlement. Physical receipt at the host does not always mean the same ownership or financial event.
Oracle's consigned inventory lifecycle provides an example where possession and ownership are separate. Use it as a conceptual reference, not a universal rule for every concession. The agreement and finance policy govern your own treatment.
This distinction affects who approves stock adjustments, who bears loss and which event triggers a commercial liability. Keep those responsibilities visible in the operating record rather than leaving staff to infer them from a stock number.
Build a location and variant movement ledger
Collect opening balances, receipts, consumer sales, customer returns, transfers, write-offs and other authorised adjustments. Keep event time and file-arrival time separately. The same transaction can arrive late without having occurred late.
| Data element | Why the planner needs it |
|---|---|
| Concession and physical location | Routes the action to the correct team |
| Variant and pack definition | Prevents size or unit confusion |
| Movement reference and timestamp | Supports reconciliation and deduplication |
| Stock state | Separates saleable and restricted quantities |
| Last complete reporting period | Shows freshness and missing coverage |
| Ownership and responsible party | Clarifies approval and accountability |
A transfer needs a sending event, receiving event and shared reference. Until receipt is confirmed, retain the goods in transit. Do not increase both source and destination available stock while the physical movement is unresolved.
Worked hypothetical example: physical stock is not available stock
A concession starts with 120 units, receives 40, sells 50 and transfers 10 out. It also receives five customer-returned units. With no other movements, expected physical stock is 120 + 40 − 50 − 10 + 5 = 105 units.
Inspection finds two returned units damaged. Three additional units are reserved for confirmed customers. Assuming all remaining units are saleable, available stock is 105 − 2 − 3 = 100 units. Reporting 105 as freely available would overstate the quantity the team can offer.
A physical count then finds only 103 units. The two-unit difference becomes an investigation, not an automatic sale. Check missed transfers, receipt errors, timing and count quality before approving an adjustment. These quantities are hypothetical and do not establish a universal stock-state model.
Use stock states consistently
Shopify's inventory documentation offers a documented example of separate available, committed, unavailable and incoming quantities. A brand can adopt its own agreed operating vocabulary, but each incoming partner field must map to it consistently.
Write down whether reservations reduce available stock, how quality holds are represented and when returned stock can re-enter availability. Avoid subtracting the same reservation twice if a partner's available figure already excludes it. Preserve raw quantities so a reconciliation can be reproduced.
Count high-risk variants or locations on a planned cycle. A system balance is a record, not proof of physical presence. Record the count time and movement cutoff, and reconcile movements that occurred while counting before concluding that a variance is a loss.
Put coverage beside every network number
Track which concessions were expected to report and which submitted complete data. A missing day should remain missing. A verified zero-sale day may warrant investigation, but it is different from a failed file delivery or an unmapped host product code.
Show comparable-location performance when reporting coverage changes. Record corrected files as revisions and prevent repeat ingestion from duplicating sales. If a host supplies only weekly data, do not present fabricated daily precision. Use the latest complete period and obtain current confirmation when an urgent stock decision requires it.
Access can also be constrained by the commercial agreement or host system. Design the process around authorised information and realistic cadence; no analytics interface can manufacture unavailable source evidence.
Convert visibility into a specific stock action
A style can have comfortable total cover while its key sizes are unavailable. Review demand, size availability, stock age and transfer lead time together. Check whether moving units would create another shortage at the source concession.
Give a proposed transfer or replenishment an owner, quantity, destination, reason and expected receipt date. Close it when the receiving event is confirmed, not when someone merely approves the request. Then review whether availability and consumer sales improved without creating excess stock elsewhere.
Practical concession review checklist
Confirm the location master, variant map, complete trading period and stock-state definitions. Reconcile transfers and returns, inspect negative balances and identify stale feeds. Verify the largest stock variances with physical evidence. Assign reporting repair separately from merchandising action.
For a MBO and partner-retail workflow discussion, bring one SIS stock bridge and a broken-size-curve example. Evaluate Fundle Brain as a possible decision interface, while confirming the actual data access and required workflow. These recommendations do not imply a named host relationship, a SIS-specific integration or automatic stock control.
Questions from retail teams
Does shop-in-shop inventory always belong to the brand?
No. Ownership depends on the commercial arrangement, which may be outright purchase, consignment or another model. Confirm the contract and finance policy before interpreting stock balances or liabilities. Keep ownership separate from physical location in the data so operational possession is not mistaken for an accounting conclusion.
Why is available stock different from physical stock?
Some physically present units may be reserved, damaged, awaiting inspection or otherwise unavailable to sell. The exact states depend on the operating system and policy. Establish a shared definition and check whether partner figures already exclude restricted quantities. Without that step, teams can overstate availability or subtract the same restriction twice.
How should we handle stock moving between concessions?
Record a transfer reference with dispatch and receipt events, quantities and responsible locations. Keep the unresolved quantity in transit until receipt is confirmed. Investigate shortages or timing differences without duplicating stock at both ends. A transfer request or approval alone should not establish that the destination can sell the goods.
What can we do when the host provides only weekly sales files?
Use the weekly period honestly and show its latest complete date. Combine it with authorised current stock confirmations when a decision cannot wait. Avoid distributing sales across invented daily records. Agree a practical exception process with the host for urgent availability issues and separately evaluate whether more frequent reporting is feasible.
When should a stock variance trigger a commercial claim?
First verify the count, movement cutoff, receipts, transfers and sales coverage. Then identify the responsible party and applicable contractual process. A variance can arise from data timing or mapping rather than physical loss. Preserve evidence and approval before moving from an operational investigation to a financial claim.
